The Danish UN Mission in New York is seeking to recruit two new Administrative Officers with excellent teamwork skills, attention to details and with a positive collaborative mindset. One for a full time employment 37 hours/week and one for a part time position of 22 hours/ 3 full workdays a week - both for 1 to 2 years with the possibility of extension.

 

Our new colleagues will be working in the Administrative Team of six dedicated staff members referring directly to the Management of the UN Mission. The main tasks of the Administrative Team are to manage the many diverse administrative work-flows of the UN Mission and to fulfil the role of Support & Service Center to the Management and the policy oriented staff of the UN Mission. Denmark is an elected member of the UN Security Council 2025-26, which also means that the administrative tasks are increasing.

 

The exact distribution of tasks between the two vacant positions will be determined, when the two chosen candidates have been selected.

 

Main tasks and responsibilities as Administrative Officer

  • Administrative and documentation tasks, including ad-hoc assignments
  • Screen, distribute and archive incoming communication (emails etc.)
  • Assistance to the Military and Police Advisors
  • Coordinate logistics for VIP visits
  • Backup for the Personal Assistants to the Management
  • Coordinator of the UN Mission’s interns
  • Onboarding-coordinator for new UN Mission staff members
  • Assisting with planning and executing events.

     

    We expect all staff members to show the flexibility required for an optimal handling of the entire portfolio of the UN Mission, and thus at all times be ready to contribute to the handling of tasks outside own designated portfolio.

     

    Requirement for the position

  • Understanding of and experience with administrative, service functions, compliance procedures and workflows
  • Service minded with a positive and assertive mindset
  • Professional experience from a similar position or within administration
  • IT proficiency and solid skills regarding the Microsoft Office programmes.
  • Fluency in Danish and English (written and spoken)
  • Organizational understanding of Danish foreign and development policy and the UN is an advantage but not a requirement.

Employment conditions

  • You will be offered full time employment for 1 to 2 years on local terms with the possibility of extension
  • Your standard working hours will be either 37 hours per week for the full time position or 22 hours/ 3 full workdays a week with some flexibility in organizing your own daily working hours
  • You will be entitled to 5 weeks (25 working days) of paid vacation days per year for the full time position and 3 weeks (15 working days) for the part time position
  • Your salary will reflect your qualifications, relevant experience and proven work-related results
  • As part of your salary you will be covered by a workplace pension scheme. 
  • You will be offered reasonable coverage of sickness expenses. So will your spouse/partner/children under the age of 26 if you provide for him/her/them.
  • The net yearly salary for the full time position – for a US tax-exempt employee (i.e. a non US citizen and not on a US greencard) – is 59,200 $. The gross yearly salary for the full time position – for an employee subject to US income taxation – is 74,000 $. Depending on the candidate’s qualifications, an additional individual allowance may be added
  • The net yearly salary for the part time position – for a US tax-exempt employee (i.e. a non US citizen and not on a US greencard) – is 35,400 $. The gross yearly salary for the full time position – for an employee subject to US income taxation – is 44,300 $. Depending on the candidate’s qualifications, an additional individual allowance may be added
